Introduction

De Medemens is a large-scale merged organization operating within the healthcare and social sector in the province of Antwerp. With a workforce of over 2,000 employees, they manage a substantial network comprising multiple residential care centers and daycares. As a major provider of care services, efficient administrative management is crucial to supporting their core mission of serving people.

Problem Statement

Managing the infrastructure and services for more than 20 different locations involves handling a vast number of maintenance contracts and reports. These documents, primarily in PDF format, contain critical data such as contract dates, payment terms, financial amounts, and cancellation clauses. Manually extracting this information and entering it into internal systems was a time-consuming and error-prone task. De Medemens needed a way to streamline this process to ensure better oversight and compliance without burdening their staff with excessive administrative work.

Our Solution

We developed a custom intelligent document processing application designed to interpret and structure data from complex documents.

  • Intelligent PDF processing: The tool scans and analyzes maintenance contracts, identifying key data points such as start and end dates, payment modalities, specific amounts, and exit clauses.
  • Seamless integration: The application is fully integrated with De Medemens' internal contract management system,  ensuring their data is updated with structured and searchable information.

Results & Impact

The application is currently live, and has significantly improved De Medemens' administrative workflows:
